Privacy Policy

This Privacy Policy explains how AI Event List (aieventlist.com) handles personal information when you browse our directory, contact us, submit an event or use account and community features. It applies to this website, not to independently operated event, ticketing or other third-party websites.

1. Information we collect

Information you provide may include your name, email address, telephone number, account and profile details, event submissions, organizer contact details, reviews, photographs, notebook entries, support conversations and contact-form messages. Account features depend on whether registration and sign-in are enabled. Required fields are identified on forms; without them we may be unable to process a request. Optional information should be provided only when relevant.

Our website and hosting infrastructure may process technical information such as IP addresses, browser information, request records, session identifiers and security logs. Advertising measurement records impressions and clicks using a pseudonymous identifier derived from IP address and browser information, with counts grouped by day. A pseudonymous identifier is not the same as anonymous data.

2. Why we use information

We use information to operate and protect the directory; manage accounts and authentication; review, verify and publish submissions; handle enquiries, corrections, rights complaints and moderation; provide requested features; measure advertisement performance; investigate misuse; and meet applicable legal obligations. We do not treat submitting an event or enquiry as permission for unrelated marketing.

3. Public and private information

We use contribution activity, moderation outcomes and internal contribution points to administer contributor eligibility and account features. Scoring formulas, qualification thresholds and internal assessments are not published in the public contributor directory or profiles. Eligible members choose whether to publish their profiles, subject to moderation. Public profile information depends on the fields and visibility choices provided by the member. Private account contact details, notebook content and internal moderation notes are not included in public contributor profiles. You may contact us to request correction of inaccurate information or exercise applicable privacy rights.

Approved event details, public organizer contact fields, published reviews, approved galleries and enabled public contributor profiles can be viewed, copied, indexed and shared by others. Only provide public contact details and images that you are authorized to publish. Avoid including sensitive information or another person's private information in public content.

Submission contact details marked for our team, contact-form messages and moderator conversations are intended for authorized staff handling the request, rather than public display. Notebook entries and private notebook photos are not intended for public display. Private does not mean end-to-end encrypted: authorized access may be necessary for operation, security, support or legal requirements. Moving or submitting content to a public feature can change its visibility.

4. Cookies and third-party services

We use cookies and similar browser mechanisms for sessions, sign-in, security and essential website functions. You can manage cookies in your browser, but blocking essential cookies may prevent forms or account features from working.

When enabled, Google reCAPTCHA helps detect automated abuse and may process technical information under Google's own privacy policy and terms. External maps, videos, social sharing, calendar links, registration services and other third-party content may receive information when loaded or used. Their collection and use are governed by their own policies. Check those policies before interacting with them. Where applicable law requires consent for non-essential technologies, that consent is required separately; this policy alone is not consent.

5. Email and communications

Account verification, password recovery and other service emails depend on configured email delivery. Event approval emails may be sent to the submission's private contact email when that notification is enabled. Submitting a contact form or moderator message does not guarantee an automatic email receipt or email reply. Staff may use the contact details you provide to address your request. Email delivery providers process recipient addresses and message content to deliver emails; delivery and confidentiality across the recipient's systems cannot be guaranteed.

6. Who may receive information

Information may be processed by authorized staff and service providers supporting hosting, storage, security and configured email delivery, as necessary for their functions. Publicly submitted content is shared as explained above. Information may also be disclosed where legally required, in response to valid legal process, or where necessary and lawful to address fraud, abuse, security incidents or legal claims. We do not provide private account or submission contact details to advertisers merely because an advertisement is displayed.

Third-party services may process information outside your country. Applicable data-protection requirements and safeguards must be observed for such processing. Visiting a linked website does not make that website part of AI Event List.

7. Storage, retention and security

Information is retained for the purposes for which it was collected, taking account of operational needs, security investigations, outstanding requests, legal obligations and disputes. Public event pages may remain available as historical records after an event ends. Archived public information and private contact information serve different purposes; retaining an event page does not remove your applicable privacy rights.

You may request a review of information we hold, its correction or its deletion through Contact us. Some records may need to be retained where lawful and necessary; backup copies may remain until normal backup replacement. We cannot directly erase copies already made by search engines or other independent parties.

The application uses measures including hashed account passwords and access controls. No website, storage system or transmission method can be guaranteed completely secure. Use a unique password, protect your devices and tell us promptly if you suspect unauthorized access. Do not send passwords, payment-card details, identification documents or unnecessary sensitive information through ordinary enquiry forms.

8. Your choices and rights

Depending on the law that applies, you may have rights to access or correct your information, request deletion or restriction, object to certain processing, withdraw consent where processing relies on consent, or complain to a relevant data-protection authority. Withdrawal does not invalidate earlier lawful processing. These rights may be subject to legal conditions and exceptions.

Use Contact us to explain your request and identify the relevant account, submission or page. We may request proportionate verification before releasing or changing personal information. Please do not include unnecessary identity documents in your initial message. We will explain any lawful reason that prevents us from fulfilling a request. Rights requests are not overridden by ordinary content-moderation or review-deletion procedures.

9. Information about children and other people

This directory is intended for a general professional audience, rather than services directed at children. If you believe a child has supplied personal information inappropriately, or someone has published your information without authority, contact us so we can review it. Submitters must have the necessary authority and permissions for information and images of other people, including any permissions required for children.

10. Changes and contact

Please review this policy periodically and before providing personal information. The policy displayed here describes our current notice. Where applicable law requires notification or consent for a material change, we will provide that notification or obtain that consent; a request to check this page does not waive those requirements.

For privacy questions, corrections or rights requests, contact AI Event List at contact@aieventlist.com or use the Contact us page and include "Privacy request" in the message title. This policy should be read together with our Terms & Conditions.

Optional website analytics

When analytics is enabled, we ask for your permission before measuring public browsing activity. Local reports contain daily totals for page views and selected actions, such as searches, filters, event links, sharing, calendar links and reading engagement. These reports do not store search words, form entries, IP addresses or account identifiers. Local totals are retained for up to 365 days, subject to scheduled cleanup.

If Google Analytics is enabled and you accept analytics, Google receives browsing measurements and may use cookies and process device and network information under its own privacy policy. Google retention is managed separately. Advertising personalization is disabled in our integration. You can decline or withdraw consent using Analytics preferences on public pages; withdrawal stops future collection but does not remove totals already recorded. Your preference is remembered in this browser for 180 days. We respect supported browser Do Not Track and Global Privacy Control signals. Account pages, submission forms and administrator activity are excluded.
